Set Up a Membership Plan
A Membership Plan is a set of services, usually at a discounted rate, that you offer to your clients to be charged on a recurring basis.
Setting up different Membership Plans is the first step to offering Memberships. You have the flexibility to make your Membership Plans as simple or as detailed as you require. For example, you can offer a single service membership, or multi-tiered membership plans with additional products and services discounted for your clients.
To get started, go to:
Settings (Gear Icon) > Membership Setup
Select "Create Membership Plan"
Note: If Membership Setup is not visible on your settings page, check to make sure that the Memberships feature is enabled. Read more on: Feature Manager
Adding Service Groups and Services
Services that are part of your Membership Plan are organized in Service Groups.
To add in a Service, you must first select Add Group. Service Groups allow a client to choose any of the Services inside the group. You would add multiple Services into a group if you want the client to be able to choose any of them.
For example, in a Service Group composed of Services “Haircut, Deep Conditioning or Full Highlight” with the quantity set to “1”, the client can redeem any one of these three services per billing cycle.
Whereas if you set up two Service Groups like below, the client will have two Services to redeem per billing cycle. They can redeem either Haircut, Deep Conditioning, or Full Highlight and an Express Facial.
Service Group 1 with Services: "Haircut, Deep Conditioning or Full Highlight"
Service Group 2 with Service: "Express Facial"
You can also offer a Service to be redeemed multiple times per billing cycle. In the example below, a client can redeem 4 manicure Services monthly where each service is calculated at $20 and the total membership is $80.
After deciding on what services you would like to be included in your membership plan, you will need to complete all the other settings:
This is the membership plan name that will be visible to the clients in the client portal.
The discount price is the price that will be used in reports to determine which amount should be recognized as sales revenue when services get redeemed. This is automatically calculated as: Group Price divided by the Quantity and cannot be edited.
This is the quantity of services added to the client’s profile per billing cycle when a membership is activated / renews.
The total price for all the services in a particular service group.
The total price that the client will be charged per billing cycle.
This is where you can set the time period in which unredeemed services will expire.
As an example, if you set your services to "Never" expire, all unredeemed services will roll over indefinitely and will be available for your clients to redeem at anytime.
If you set this to "1 month", all unredeemed services will expire if not used within the month. So if your client has membership with four manicure visits, and they only come in three times that month, the last one will expire automatically.
Note: You can always manually adjust the quantity of remaining services even if unredeemed services have expired. An example where this can be helpful is if a client only missed their visit by a few days and would still like to avail of their membership services. Products and Services Discounts
Membership Plans sometimes include perks such as product purchase discounts and additional service discounts. These discounts will be automatically applied to all product purchases and additional services at checkout for clients with an active membership.
An example of when additional service discount would be helpful is if a client already redeemed their 1 facial service but wants to get another one for this billing cycle, you can offer them that service at a discounted rate.
Note: You can manually remove these discounts if it's not applicable on certain products or services. To learn more, visit: "How do I remove products and services discount?"
Price to use for commission (Advanced Options)
This setting only applies if you have staff members that get paid service commission. This is the price used to calculate staff member’s service commission.
Regular Price - the staff commission will be calculated based on the regular price as listed on your services page.
Discount Price - the staff commission will be calculated based on the discounted Membership Plan price as detailed above.
